General Summary
The Operations Coordinator (OC) will assist the Operations Manager in ensuring that subcontractors serving under Haas TCM are meeting our performance metrics as well as customer’s expectations. The OC’s primary responsibility is coordinate Haas TCM activities for each order, as required, and those of our subcontractors and to monitor and appraise performance using a variety of data resources available through tcmIS.
In addition to tracking aggregate performance, the OC will monitor individual orders and expedite those that are behind schedule and work directly with Haas TCM staff and subcontractors to expedite them. The position also involves working with the Operations Manager in root-cause analysis of subcontractor performance problems and tracking problem resolution. Finally, the OC will assist the Operations Manager in preparation of a variety of status reports for Haas TC management and for our customer.
This position requires a high school diploma and prior experience in customer service, order fulfillment, or related fields. This position will be filled by a self motivated individual who can work independently to perform a variety of complicated tasks.
Individual Responsibilities:
- Monitor subcontractor order fulfillment rates relative to Haas TCM performance metrics. Report weekly.
- Analyze backorder load daily. Report critical problems to the Operations Manager. Work with Operations Manager to identify root causes of order delays and implement subcontractor resolution of causes.
- Manage weekly updates of subcontractor receipt of government material. Work with customer and subcontractor to resolve count discrepancies.
- Critically review subcontractor’s monthly reports of the status (count, condition, quantity, and location) of government material in subcontractor possession. Work with subcontractor to resolve errors and prepare final report for submission to DLA.
- Expedite priority shipments and respond to customer inquiries regarding orders.
- Coordinate issuance/receipt of Shipper Declarations for Hazardous Goods as necessary
- Ensure timely submittal of MSDS data and Hazardous Warning labels from subcontractors. Coordinate submission to Haas TCM’s catalog group and to DLA.
Prepare challenges to monthly fill rate and other performance metrics.
General Responsibilities:
- Maintain a positive image for Haas with our customers and subcontractors, while demonstrating high standards of business ethics and integrity.
- Recommend actions to improve subcontractor productivity and effectiveness. Plan corrective actions or process changes as required.
- Work independently, within the scope of authority, but remain consistent with Haas TCM program objectives, guidelines, policies and practices.
- Ensure all assigned reports are accurate, complete and submitted on time.
- Promote effective communication between Haas TCM and subcontractor(s).
- Participate in weekly operations meetings with customer and twice-weekly status meetings with subcontractor(s).
Education and Experience:
- Work experience in Customer Service, Supply Chain, Purchasing, Operations and/or Logistics.
- High school education is required, college preferred.
Skills:
- Express ideas clearly, both orally and in writing. Be able to identify, evaluate and implement corrective actions.
- Must be highly organized. This position requires the individual to manage and compile large amounts of data on a daily basis.
- Knowledge of computer software applications (Excel, PowerPoint, Access, and Word) preferred.
Work Environment:
- May occasionally visit subcontractor’s sites to assess inventories and work practices.
Authority/Freedom to Act:
- This position requires a self-starter getting minimum direction from program management.
